In accordance with Amex rules, the accounting closing of the previous month takes place on the second business day of each month.
This process involves all employees of the company who generate the costs,
as well as those responsible for determining the invoicing of revenues.
In a special email communication, we inform you about the current dates of setting up the EPR and sending information about the costs and revenues for a given month.
The costs are booked on the basis of the documents delivered to the Accounting Department: invoices, debit notes, travel settlements, Settlement of expenses etc.
Costs are also booked on the basis of estimates that are collected in the form of an EPR report in Navision.
Any EPR or created Order for which no invoice has been delivered before the end of the month is treated as an accrual cost.
In this context, workers must:
- deliver to the Accounting Department any invoices/accounting documents for the previous periods 4 working days before the end of the month (WD-4)
- enter EPR orders in Navision that are relevant for the month in question (WD-4).
Revenues shall be booked on the basis of information provided through the Financial Automation Tool, as well as data contained in clearing and analysis reports.
If the final data are not yet available, please send revenue estimates to iwona.wronska@payback.net
It is very important that all data is provided at the latest one day before the end of the month and is
as accurate as possible.
