Please note that the salaries quoted are monthly salaries and that we do not charge by the hour according to the work performed.

INTERNSHIP GOALS:
An internship is part of your personal training and development. To make this tangible for you, record your professional and personal internship goals together with your supervisor.
This documentation is required by law for voluntary interns. Please use the template in word and send the completed document to our internship goals mailbox within the first 2 weeks.

Even if it is not mandatory for compulsory interns and working students, we still recommend setting goals!
FEEDBACK:
Constructive feedback is important so that you gain sufficient practical experience and develop yourself further. Therefore, regularly discuss your performance and behavior with your supervisor and colleagues so that you can always make progress. Please use the template in word for this purpose. It contains the criteria that you will also find in your certificate at the end of your employment with the PAYBACK GROUP.

Of course, we also welcome your feedback. If you have any ideas and suggestions for interns and working students, please get in touch with your HR contact or our Students mailbox.
Voluntary interns and working students are required by law to fill out a time sheet. You can find the current template below.
Once a month, we offer a timesheet FAQ for students and supervisors. Please make sure you come to the appointment to avoid mistakes in the timesheets!
Please note the following:
- The contractually agreed number of hours per month must not be exceeded.
- Overtime must be compensated promptly in time off.
- Daily working hours may not exceed 10 hours.
- Working students may not work more than 20 hours per week. An exception is only possible during the semester break, please note: Contract (changes, extensions, termination, etc.) in the FAQs.
- You must take a break of at least 30 minutes if you work 6 hours or more, and at least 45 minutes if you work 9 hours or more.
- The timesheet must be signed by you and your supervisor or superior.
- The timesheet must be submitted to our timesheet mailbox by the 5th of the following month at the latest.
- Public holidays
- For mandatory interns = days off
- Not relevant for working students (do not count as working hours), as a fixed number of hours per month has been agreed and there are no fixed days of the week
- Not relevant for voluntary interns (do not count as working time), as a fixed number of hours per month has been agreed and there are no fixed days of the week
- Sick days:
Voluntary internship:
- If the month has 20 or fewer than 20 working days: Please enter the sick day in the timesheet with a value of 8 hours.
- From the 1st day of illness, the sick days are entered in the timesheet with the note "Sick" and the respective hour model.
Working student employment:
- If it is not possible to work due to illness and the hours are not made up, they are entered in the time sheet with the note "Sick" and the respective time model.
Templates 2024

If a secondary employment is to be pursued, a corresponding application must be submitted to HR. The application is stored in the templates in Word.
Interns: 2 days per month (= 24 days per year)
Working students: 1 day per month (= 12 days per year)
For working students, the value of the vacation day depends on the hourly model:
- 80h/ month = 8h
- 60h/ month = 7,5h
- 48h/ month = 6h
- 40h/ month = 5h
- 32h/ month = 4h
Example 1:
Sissi is a working student and works 20 hours a week. Sissi has exams and wants to take a week of vacation. One vacation day corresponds to 8 hours in Sissi's hour model. In the Vacation Tool she therefore enters 2.5 days of vacation. (8 hours x 2.5 days = 20 hours)
The entry must be the same according to the respective hour model. (Alternative: 0.5 days vacation on 5 days = 4 hours x 5 days = 20 hours)
The weekly hours must not exceed the respective hour model. e.g. Sissi cannot work 8 hours on Monday and enter vacation for Tuesday, Wednesday and Thursday half day. 8 hours + 20 hours vacation = 28 hours = more than contracted!!!
Example 2:
Franz is a working student and works 8 hours a week. Franz would like to go on vacation for one week. One vacation day corresponds to 4 hours in Franz's hourly model. In the Vacation Tool he enters 2 days of vacation. (4 hours x 2 days = 8 hours).
The entry must be the same according to the respective hour model. (Alternative: 0.5 days of vacation on 4 days = 2 hours x 4 days = 8 hours).
The weekly hours must not exceed the respective hour model. e.g. Franz cannot work 2 hours on Monday and enter vacation for his actual working days on Thursday and Friday. 2 hours + 8 hours vacation = 10 hours = more than contracted!!!
Vacation Tool
Your vacation entitlement for the current calendar year is stored in the Vacation Tool. If there are any discrepancies, please contact our Students Team.
You must plan and take all your vacation days in the current calendar year. It is not possible to carry over to the following year.
All vacation days must be taken within your contract term. Vacation days cannot be taken when changing contracts.
To take vacation, enter the desired period in the Vacation Tool after consultation with your team. Your supervisor will then receive the request for approval. Vacation days can also be cancelled via the system.
Office Hilidays
The offices are closed from Christmas to New Year.
Interns
- The days required for the company vacation are already included in the Vacation Tool for interns.
Working students
- For working students, no vacation days are entered in the Vacation Tool for this period by default (if the company vacations are already entered in the Vacation Tool, please cancel!) Please note that you can work during this period despite the company closure if you cannot otherwise work the contractually agreed monthly hours.
- If the month of December is long enough and you have already reached your contractually agreed hours before Christmas, you do not have to take vacation!
Taking remaining vacation
Vacation days not taken expire at the end of the year. In exceptional cases, remaining vacation days can be taken over the turn of the year (first week of January) if they are taken without gaps to the previous year and are applied for and approved in the following form:
- If the company vacations (24.12. to 31.12.) are already preset in the Vacation Tool, please cancel them
- Approval of the cancellation by the manager
- Only then apply for the new vacation in the calendar sheet of the current year from (for example) 30.12. to the end of vacation in the new year.
- The remaining vacation is then automatically used and used up.
→ If you want to use up your remaining leave in the first week of January, it must start in 2023, otherwise the leave from 2024 will be used and the remaining leave from 2023 will expire.
If you are unable to work due to your own illness or your child's illness, please note the following:
- Call in sick via the HR Self Service Portal by 09:00 at the latest, your manager and your team assistant will be notifed automatically via mail
The following applies to interns:
From the 3rd day of illness - weekend days count! - it is necessary to get a sick note. The sick note is transmitted digitally and we can retrieve it a few days later as the employer.
The following applies to working students:
If the hours are not made up, it is necessary to get a sick note from the 1st day of illness. The sick note is transmitted digitally and we can retrieve it a few days later as the employer.
What else is important?
- For those with statutory health insurance: Since 01.01.2023, doctors have been reporting sick notes directly to the health insurance companies (eAU). This process does not yet work smoothly, so some practices continue to issue sick notes in paper form. This is why uploading them to the tool is not necessary, but is optional.
- In the first four weeks of your employment relationship, you are not entitled to continued payment of remuneration in the event of illness. In this case, please inform the Students Team
- In the event of illness on vacation, the vacation day can only be canceled if a sick note is available.
- Please upload sick notes from privately insured persons via the tool - therefore please ask for the printout in the practice (please only send us the copy for the employer)
- Please always upload sick notes of "child sick" directly via the tool

Working Students Contracts
Changes to the contract can only be implemented with effect from the 1st of the month and for a full month.
All contract amendments are sent digitally via DocuSign.
EXTENSION OF THE CONTRACT
Requirements:
- Max. Contract term: 2 years
- Max. Extensions: 3x
- Student:in has a valid certificate of enrollment
- Student:in still has outstanding examinations
- Student:in is not on leave of absence
To Do Supervisor:
Supervisor sends complete information at least 1 month before the planned change:
- First and last name of the student
- New contract period
to students@PAYBACK.group for the preparation of the contract.
As soon as the contract is signed, the supervisor and the TA will be informed by us.
GENERAL INCREASE IN THE HOURS MODEL
Prerequisites:
- Only possible for full months (1st to end of month)
- Only our predefined hourly models are possible (see hourly models in the FAQs)
To Do:
Supervisor sends complete information at least 1 month before the planned change:
- First and last name of the student
- New timetable model
- Length of the change, if applicable
to students@PAYBACK.group for the preparation of the contract.
As soon as the contract is signed, we will inform the supervisor and the TA.
INCREASE IN HOURS DURING THE SEMESTER BREAK
Prerequisites:
- Only possible for full months (1st to end of month)
- Student:in has semester break and can confirm the precisely defined period
- (i.e. a confirmation of the free allocation of the semester break is not sufficient)
- Student:in is not on semester break
- Possible hourly models: usually 40 hours / week, but fewer hours are also possible
Please note:
Student may work more than 20 hours / week for a maximum of 26 weeks per year
Vacation entitlement does not increase due to additional work
To Do:
Supervisor sends complete information at least 1 month before the planned change:
- First and last name of the student
- Approval from department head/cost center manager about the increased costs
- Confirmation of semester break
- Exact period of the increase
- Time model

REDUCTION OF THE NUMBER OF HOURS
Prerequisites:
- Only possible for full months (1st to end of month)
- Only our predefined hour models are possible (see hour models in the FAQs)

Supervisor sends complete information at least 1 month before the planned change:
- First and last name of the student
- New timetable model
- Length of the change, if applicable

PREMATURE TERMINATION OF THE CONTRACT
Prerequisites:
- Period of notice Probationary period: 1 week
- Regular notice period: 1 month to the 15th or end of the month
To Do:
Termination of the contract in writing by the student (by post with original signature and as a PDF by email to the HR contact person)
Please note the formal regulations for termination. If necessary, you can request a template from us.
Confirmation of termination and all information on leaving will only be sent upon receipt of the original.
SALARY ADJUSTMENT
Prerequisites:
- Change to a higher semester in which the hourly wage changes.
To Do Students:
Please get in touch with your HR contact person or our Students mailbox as soon as you move to a different semester and your hourly wage changes as a result.
You can find an overview of salaries in the FAQs under Salaries.
If the minimum wage changes, the new salary will be paid automatically. There is no need to adjust your contract!
CHANGE
You are welcome to switch from a working student position to a voluntary internship or a mandatory internship.
Requirements:
- Voluntary internship: None
- Compulsory internship: Requirements of the university/university of applied sciences
To Do:

- First and last name of the student
- Contract term(s)

VOLUNTARY INTERNSHIP CONTRACTS
Changes to the contract can only be implemented with effect from the 1st of the month and for a full month.

EXTENSION OF THE CONTRACT
Prerequisites:
- Max. Contract term 2 years
- Max. Extensions: 3x

HOURLY MODEL
As a rule, voluntary interns work full-time, maximum 160 hours / month.
Please note that no more than 160 hours / month may be worked, as we pay a fixed monthly salary. You can find all information on this in the timesheet and under Timesheet in the FAQs. We also offer training once a month. Please contact students@PAYBACK.group for more information.
PREMATURE TERMINATION OF THE CONTRACT
Prerequisites:
- Period of notice Probationary period: 1 week
- Regular notice period: 1 month to the 15th or end of the month
To Do:
Termination of the contract in writing by Student:in (by post with original signature and as PDF by email to your HR contact person)
Please note the formal regulations for termination. If required, you can request a template from us.
Confirmation of the termination and all information about the resignation will only be sent upon receipt of the original.
SALARY ADJUSTMENT
The minimum wage is fixed. If this changes, the new salary will be paid automatically.
No contract adjustment is required!
CHANGE
You are welcome to change from a voluntary internship to a compulsory internship or a working student position.
Requirements:
- Compulsory internship: requirements of the university/university of applied sciences
- Working student job: see Contract - All information for working students in the FAQs
To Do:
Supervisor sends complete information at least 1 month before the planned change (or with entry information):

- For working students additionally:

COMPULSORY INTERNSHIP CONTRACTS
Changes to the contract can only be implemented with effect from the 1st of the month and for a full month.
All contract amendments are sent digitally via DocuSign.
EXTENSION OF THE CONTRACT
Prerequisites:
- Only possible as a compulsory internship if this is prescribed by the university/college and confirmation is provided (e.g. in the event of prolonged illness/absence etc.)
- After the compulsory internship, a voluntary internship can be added (see "Change" below)

EARLY TERMINATION OF THE CONTRACT

- Period of notice Probationary period: 1 week
- Regular notice period: 1 month to the 15th or end of the month
- Please note that the mandatory internship may not be recognized if terminated prematurely

Confirmation of the termination and all information on leaving will only be sent upon receipt of the original.
CHANGE
You are welcome to do a voluntary internship or working student activity with us before and/or after a mandatory internship.
Requirements:
- Voluntary internship: None
- Working student activity: see contract - all information for working students in the FAQs.
To Do:

- First and last name of the student

- In case of a working student activity additionally:

Basically, the following applies: we are happy about more presence in the office!
Use the first few weeks on site to get to know your team and network within the company! But even after your induction period, we very much welcome it when our students are on site in the office.
The same rules apply to interns as to permanent employees. Working students should generally work from the office. Exceptions can be approved by the respective manager, especially if the nature of the work is explicitly designed to be carried out from outside the office. However, working students are required to spend one day a week in the office.
You are welcome to organize your working hours flexibly with the agreement of the team, but the contractually agreed working hours must not be exceeded!
All students receive a mobility allowance with their salary, which can be used individually to travel to the office.
All enrolled students who can purchase a discounted Deutschlandticket for €29 receive a travel allowance of €29 gross in addition to their salary. Voluntary interns receive an additional €50 gross for their travel costs.

Do you want to write your Bachelor's or Master's thesis with us?
Before you can start, however, there are a few to-dos to work through:
1. Find a topic for your thesis on your own.
2. Find an in-house supervisor who will supervise your thesis according to the specifications in the checklist.

3. Fill out the non-disclosure agreement for your professor, have him/her sign it and submit the original signed copy to HR.

4. Also send the following information to the student mailbox so that a contract for the thesis can be issued to you:
- Name of the supervisor(s)
- Department in which you want to write the thesis
- Date on which you would like to start working on the thesis
- Planned submission date
- Subject
5. As soon as the contract is ready, it will be sent to you via DocuSign.
6. After signing, you can get started!
Would you like to draw on information from the company group or expert opinions from colleagues for a project? In this case, a non-disclosure agreement must also be submitted by your professor.

Also include the following confidentiality notice on your thesis:
"This thesis may only be made accessible to the first and second assessor and authorized members of the examination board. Publication and reproduction of this thesis - even in excerpts - is not permitted. Access to the thesis by third parties requires the express permission of the author(s) and the company."
At the end of your employment we will provide you with a testimonial. You are responsible for the initiation - please proceed as follows:
- Choose the right certificate template for you (LPS/LPH/PB) from the word templates:
- Complete and agree the template with your supervisor or manager
- Send the template by email to zeugnisse@loyaltypartner.com so that it can be finalized and signed

Certificates are only issued in German. If required, we can provide you with a confirmation of employment in English, stating the nature and duration of your employment.
Before you leave us, here are a few important points:
- Please coordinate your last working day with your team and make sure that you take your remaining vacation days before your contract ends.
- Please also make sure that you have completed all timesheets correctly.
- You are obliged to return all property provided by the company on your last day of work at the latest. (Access card at the reception on the 4th floor, IT equipment at the Office IT on the ground floor).
- Please log in to ADP World again and download your payslip and income tax statement.
